It can be a good idea to set as secure default settings for meetings as possible. You can then deviate from these when scheduling a specific meeting - both in the booking process and during the meeting. Click on Settings to access the settings:

• If you want control over the sharing of presentations in your meeting, you can choose not to allow participants to share presentations. You can then allow them to share presentations during a meeting.
• There is a setting that initially prohibits others from annotating, i.e., drawing and writing over your presentation. You can then allow participants to annotate in your meeting.
• A good default setting may be that participants you have removed from a meeting cannot reconnect.
• Why not lock the meeting once it has started and everyone who should be present has joined? Click on More and Lock Meeting in the participant list.

Always use a password and/or waiting room, and be cautious about how you share your meeting invitation. We discourage sharing a meeting link publicly on social media. There is a phenomenon known as Zoombombing, which refers to unknown participants invading a meeting and causing disruption.

From a security perspective, it is always recommended to use a password when scheduling a meeting. This prevents unauthorized individuals from guessing a meeting ID and gaining access. Passwords for meetings have been a default setting since 2020-04-08 but can be opted out of when scheduling a meeting.

An encrypted form of the password is included in the web link of the meeting invitation. Those who receive the meeting invitation do not need to enter the password separately.

It is safer to use Zoom Webinar for larger meetings/public seminars/defenses. The registration feature can also be a good idea to gain control over participants in a meeting.

At Zoom's Download Center, there are various apps available for download. To get started with and use Zoom, you should download:

• Zoom Desktop Client for your computer.
• Zoom Mobile Apps for your mobile devices (smartphones and tablets)

The zoom service at the university of Gothenburg is a SUNET service run by the nordic gateway for research and education, NORDUnet. This is different from the free zoom service available to anyone.

If you have registered your own account with Zoom using your student email address, it may cause some issues. Certain features, such as Breakout Rooms, do not work as intended.

If you have registered your own account with Zoom using your student email, you will need to make a decision regarding your Zoom account. You can choose to either transfer the account to the University of Gothenburg, or make it private by providing a personal email address.

Zoom will prompt you to update your information
When you log in to Zoom, you will see the message: 'The domain associated with your email access has been claimed by the University of Gothenburg (GU.se). To retain access to your Zoom account, please select an action below.'

Here's how to choose:

• Select 'Consolidate into Account' to transfer your account to the University of Gothenburg. If you choose to move your Zoom account to us, this account will be removed when your study period ends.
• Select 'Update Email Address' to enter a personal email address and make your account private. Your Zoom account will then become private and detached from your studies at the University of Gothenburg. Follow the instructions provided higher up on this page in the Student Portal to log in to the service with your student account.

If you have a computer that you are not allowed to install Zoom on, you can still participate in meetings directly in the browser. Use the Chrome browser for best functionality.
