Mobility-Online

You start by filling in the application form with information about what you are studying and the choices you wish to make. Please note that you must complete the entire form in one go; you cannot save it and return later. After submitting the application form, you will need to log in to the system and register your personal information and upload your qualifications.

Follow these steps:

• Enter all information requested in the application form.
• It is very important that you choose the right Faculty affiliation in your application; that is, you need to select the Faculty at which you are enrolled. Otherwise, your Faculty will not be able to process your application.
• In the application form, select the potential host universities you are interested in. You can choose up to six universities and you need to rank them in order of preference with your first choice at the top. For the best chance of securing a spot, fill in all six options with universities you want to study at.
• You will be asked to indicate which courses/subject areas you wish to study at the universities you select. Make sure that the courses/subject areas you list are actually available at the universities you have chosen. You can find the course offerings on the universities’ own websites.
• The application form also asks you to rate your language skills. Use the link below to access a document that helps you assess your language skills: Self-Assessment Grid
• You must fill in the entire form on one occasion. When you have completed the application form, you check the box "Send application - To the next step".

When you have completed the first part of the application by clicking on “Send application – To the next step”, an e-mail is sent to the email address you provided. The email contains information and a link to Mobility-Online.

Click on the link and log in to Mobility Online with your student account. Once logged in, you will need to fill in your address details and upload mandatory documents.

Some, but not all, faculties require that you upload documents/attachments. Depending on your home department/faculty and the host universities you are applying to, there may be additional instructions regarding your online application. Read the instructions from your faculty/department carefully at the bottom of the page Prepare and apply for exchange studies to ensure that your application is complete.

When you have gone through the steps described above you must submit your application.

In the section “Upload and print documents”, click on the blue button “Submit application”, then click on the button “Forward to update”. There, tick the box marked ‘I hereby confirm that I have uploaded all the required documents (submit application)’ and then click ‘Update’.

Your application is now submitted.

You can check that your application has been submitted by going back to the section "Upload and print documents" and seeing that the small checkbox now has a green tick in it, as well as the date and username of the step completed, indicating when this step was completed.

2. Enter details of the course or courses at University of Gothenburg

Enter details of the course or courses at the University of Gothenburg that the exchange will replace. Go to ‘Enter courses (home institution) into Learning Agreement’. Click ‘Enter courses’. 

Add one course at a time by clicking ‘Add course’ at the bottom of the page.

• Semester – Uses the ‘Start semester’ from the application. Can be changed if necessary, e.g. if the exchange lasts two semesters.
• Course code at the home institution (leave blank if no course code exists) – course code. Mandatory if a course code exists; otherwise, leave the field blank.
• Course title at the home institution – course title
• Number of credits at the home institution – number of credits
• Information about/Link to course at the home institution – optional
• For the Blended Intensive Programme (BIP): Short description for virtual component – optional here for the home course 

Click ‘Create’ at the bottom to add the course.

Add more courses if relevant to your exchange by clicking ‘Add course’ again.

If you need to edit information about a course, click on the pencil icon to the left of the course name. To delete a course, click on the bin icon. 

3.  Add contact person at host institution

Add a contact person at the host institution. Go to the ‘Contact person host institution’ step and fill in the following:

• First name of contact person (host) LA – the contact person’s first name
• Surname of contact person (host) LA – the contact person’s surname
• Contact person LA at host – email – the contact person’s email address 

Click ‘Update’ to save. 

 4. Add course or courses at host institution

Add the courses you will be taking at the host institution in the ‘Enter courses (host institution) into the Learning Agreement and sign’ step. Follow the same procedure as when you created the courses for your home institution; click ‘Add course’ to add the courses you will be taking. The fields you fill in for each course are the same, with the same rules applying. 

 5. Sign your Learning Agreement

Sign your Learning Agreement once you have added all your courses. Within the ‘Enter courses (host institution) into Learning Agreement and sign’ step, a new button appears when there are courses at both your home and host institutions – ‘Final check before signing the DLA (student)’. Click this button to open your Learning Agreement and check that everything looks correct. 
 
Once you have checked that everything is correct, sign by clicking ‘Sign and Transfer’ at the bottom of the Learning Agreement. 

Once you have signed, your Learning Agreement must first be signed by the coordinator here at the University of Gothenburg and then by the coordinator at the host institution.

If your Learning Agreement is rejected, you will need to log in and make changes. You will be notified if your Learning Agreement is rejected via email , which will also contain instructions on what to do.

1. Log in to Mobility-Online and follow the instructions in the email.
 a)Go to one of the ‘Enter course’ steps. Under ‘Message’, you will see what you need to change.

 b) Click on the edit icon to the left of the course information.

c) Make the changes and click ‘Update’.

2. Once you have saved the change, you should
 a) Re-sign your Learning Agreement by clicking ‘Final Check before signing’. Check that everything is correct and sign.

b) Return to the Application workflow and click ‘Confirm correction’.

If the conditions for your exchange have changed, it is possible to amend your Learning Agreement even after all three parties have signed it. Please note: It is not possible to make changes to short-term mobility programmes (BIP).

1. Log in to Mobility-Online, go to ‘Application workflow’ and scroll down to the section ‘Changes to Learning Agreement’. Under ‘Request to make changes to your Learning Agreement’, click the ‘Answer questionnaire’ button to proceed.

2. In LA Changes, select ‘Yes’ to the question ‘Do you request to make changes to your Learning Agreement (LA)?’ and then click ‘Save’.

3. Make changes by removing or adding courses; see the instructions under step 2 in ‘Create a Learning Agreement’ above.

4. Sign your Learning Agreement.

Further changes

If you need to make further changes after the first round of changes to the Learning Agreement has been signed by all three parties, you must first notify your international coordinator at the University of Gothenburg.

To enable further changes in the system, go to the step ‘Request to make additional changes to your Learning Agreement (optional)’. Tick ‘Yes’ and update. The international coordinator must then approve your request to make further changes to your Learning Agreement.

Once you have made the changes, the learning agreement must be signed again.

If you wish to save a learning agreement as a PDF, you can do so within the learning agreement itself. At the top right, there is a print icon. Click on it, select Portrait or Landscape mode, and then choose to save as a PDF.

Once a learning agreement has been signed by all three parties, you can find it by going to the View Learning Agreement step. Then click the Show current version button.
